Automatic follow-up campaigns with Autoresponders
What are autoresponders?
An autoresponder is an automated email campaign that is launched when a pre-established trigger is activated. You can leave it to Flexmail to carry out part of the follow-up. You can use the settings to create a scenario for the automated campaign.
What triggers can be used to activate the autoresponders?
New contact creation date
This means that whenever a contact is added to a mailing list (manually or by a registration), he or she will receive an email. With this trigger, you can for instance send a welcome message upon each new registration. Date field contact
With this trigger, an email is sent upon a given date. This can be used for instance to send birthday greetings or reminders. Click on a link in a campaign
You can use the autoresponders to send a follow-up email to everyone who clicked on a given link in your message. So, for instance, you can send an offer to everyone who has shown interest in a given topic.. After filling out a form
With this trigger, you can send a follow-up email automatically to everyone who has filled out a form. Thus, for example, you can send out a confirmation message. After participating in a survey
As with forms, so you can also send a follow-up message to everyone who has participated in a survey.
How do you set them up?
To illustrate clearly the operation of the autoresponders, we will use a fictitious case study.
I am organising an event. I want to send a reminder email to everyone who registered via the form. How do you proceed?
You always begin by creating the message that you want people to receive.
I create my reminder email. It repeats the precise date and location of the event, along with the directions.
When you are ready, go to Email campaigns > Autoresponders. Click on ‘Add’.
You will now see a new window with all sorts of fields to be filled in. Here you can decide on the scenario for your follow-up campaign.
At the top of the page, begin by giving a name to your autoresponder. Only you will see this name. Then decide on the trigger. In the case of a reminder message, this is ‘After filling out the form’. If you choose this trigger, you also have to select the form to which this follow-up campaign applies. In our example, that is ‘Registration for workshop’.
After that, you have to indicate after how many hours, days or months the mail should be sent. Below that you can also opt for the days on which the mail should be dispatched. In this example, Saturday and Sunday have been ticked. Everyone who is supposed to receive the email on the weekend will see the message in his or her inbox on Monday.
You can also opt to limit the duration of the campaign. This may be useful when contacts may only register up to a certain date, for example.
Please note: if a number of people have already registered using the form by the time you create your autoresponder, those who have already registered will not receive the email. If, however, you indicate that the execution should have retroactive force, then everyone who has already registered will also receive our email.
The only thing that you have still to do is to fill in the sender information and the subject line.
Are you ready? Then tick ‘start autoresponder’. The automatic campaign will begin to run at that moment.
Afterwards you can measure precisely whether your follow-up campaign was a success. Just as with a regular campaign, you can consult the full reports when using autoresponders.
